Of all the ways to damage a sending domain, a high bounce rate is the fastest and the most avoidable. A single campaign to a stale list can undo a month of warmup in an afternoon, because mailbox providers read a high invalid-address rate as near-proof that the list was purchased or scraped.

The good news is that bounce rate is almost entirely under your control. Here is how it works and how to keep it under 2%.

Hard bounces versus soft bounces

Hard bounces — permanent failures

The address does not exist, the domain does not exist, or the server has permanently rejected delivery. Causes: the person left the company, the mailbox was deleted, a typo in the address, or a domain that has expired.

Hard bounces must be suppressed immediately and permanently. Sending again to an address that has hard bounced is one of the clearest negative signals a provider can observe — it says you are not processing feedback, which is characteristic of bulk spam operations.

Soft bounces — temporary failures

The mailbox is full, the server is temporarily unavailable, the message exceeded a size limit, or greylisting is in effect. These may deliver on retry.

Most platforms retry automatically. The rule that matters: after three or four consecutive soft bounces to the same address, treat it as hard and suppress it. A permanently full mailbox is functionally dead.

Why lists decay faster than you expect

B2B email addresses go invalid at roughly 2% per month through ordinary churn — people change jobs, companies restructure, domains get consolidated after acquisitions. That compounds:

  • A list verified 3 months ago is around 6% invalid — already past the danger threshold.

  • A list verified 6 months ago is around 12% invalid.

  • A list verified a year ago is around 22% invalid — unusable.

This is the single most important operational point in this article: verify immediately before sending, not when you build the list. Verification is a pre-send step, not a data-collection step.

What verification actually checks

A verification service runs several layers:

  1. Syntax — is the address structurally valid? Catches typos and malformed entries.

  2. Domain and MX records — does the domain exist and can it receive mail? Catches dead and expired domains.

  3. SMTP handshake — connect to the mail server and ask whether the mailbox exists, without sending. This is where most invalid addresses are caught.

  4. Disposable-address detection — flags temporary inboxes.

  5. Role-account detection — flags info@, sales@, support@, admin@.

  6. Spam-trap and blocklist signals — flags known-risky addresses.

Reading verification results

  • Valid — send.

  • Invalid — remove permanently.

  • Catch-all / accept-all — the server accepts mail for every address, so validity cannot be confirmed. These are the judgment call. Excluding them shrinks the list; including them raises bounce risk. Send to catch-alls only if your overall bounce rate is comfortably under 2%, and keep them in a separate segment so you can measure their effect.

  • Role account — remove from cold outreach. Shared mailboxes generate low replies and high complaint rates.

  • Disposable — remove.

  • Unknown — treat as risky; exclude if your bounce rate is anywhere near the threshold.

Spam traps: the risk verification cannot fully eliminate

Spam traps are addresses that exist solely to identify senders who did not collect their data legitimately. There are two kinds:

  • Pristine traps — addresses never used by a human, published where only scrapers find them. Hitting one is strong evidence of scraping, and can blocklist a domain immediately.

  • Recycled traps — formerly real addresses, abandoned, then reactivated as traps by the provider. These are why sending to long-inactive addresses is dangerous.

Verification catches some, but not reliably — a trap accepts mail, so it looks valid. The only real protection is never buying lists and never sending to addresses you have not sourced yourself and verified recently.

The workflow that keeps bounce rate under 2%

  1. Source addresses yourself through research and enrichment. Never buy a list.

  2. Verify the full list immediately before each send — not at build time.

  3. Remove invalid, disposable and role accounts without exception.

  4. Segment catch-alls separately and monitor their bounce contribution independently.

  5. Suppress hard bounces globally and permanently, across every campaign, not per campaign.

  6. Suppress after three consecutive soft bounces.

  7. Re-verify anything older than 30 days before reuse.

  8. Monitor bounce rate per campaign and per inbox, and pause at 3% rather than waiting for 5%.

What to do after a high-bounce campaign

If a send comes back above 5%:

  1. Stop the campaign — do not let the remaining batches send.

  2. Suppress every hard bounce immediately.

  3. Re-verify the entire remaining list before any further sending.

  4. Return to warm-up only for one to two weeks on the affected inboxes.

  5. Check blocklists — a high-bounce send is a common trigger for a listing.

  6. Resume at half your previous volume and rebuild from there.
